How to Convert Excel to PDF Without Cut-Off Columns
You send a client a quotation as a PDF, and the last two columns, including the totals, have moved onto a separate page on their own. It is the most common problem with spreadsheets turned into PDFs, and it is fixed in Excel before you convert: the PDF simply follows the spreadsheet's page setup.
Why columns end up on extra pages
A spreadsheet has no fixed page size; a PDF does. When a sheet is wider than an A4 or Letter page, the extra columns flow onto further pages, and long sheets break wherever the page runs out, sometimes in the middle of a table. Blank pages appear when a stray value or formatting sits far away from the real data.
Prepare the sheet in Excel first
Select the cells you want and set them as the print area (Page Layout, Print Area, Set Print Area), so nothing outside the table is printed. Under Page Layout, set the orientation to Landscape for wide tables, and in Scale to Fit set Width to 1 page, which shrinks the columns to fit the page width while letting the sheet run over as many pages as it needs.
For long tables, use Print Titles to repeat the header row at the top of every page, so page three still says what each column means. Hide working columns and delete or hide scratch sheets you do not want to share, because every sheet in the workbook is converted.
Convert the workbook
Open Excel to PDF and add your file; XLS, XLSX and ODS all work, and you can add several workbooks at once, each becoming its own PDF. Press PDF to convert, then download the result and check every page before sending.
Tidy and send
If an empty page slipped through, remove it with Delete PDF Pages rather than converting again. To send a quotation with its terms and conditions, combine the spreadsheet PDF with your other documents using Merge PDF. A quotation or invoice that needs approval can be signed with Sign PDF.
Going the other way
A PDF is for reading and printing. If someone sends you a PDF table and you need the numbers back in a spreadsheet, PDF to Excel converts it into an editable sheet.
